This policy explains how Hydrophis handles personal information when you browse this website or contact us through it. It covers the UK website and enquiries originating from it; separate notices or contractual terms may apply to employment, research or a customer project. Last updated: 28 October 2026.
Who is responsible for your information
Hydrophis UK Ltd is the controller for this website. We are registered in England and Wales under company number 11918191. Our registered office is Burnham House, Splash Lane, Wyton, Huntingdon, England, PE28 2AF.
For privacy questions, rights requests or data protection complaints, email sales@hydrophis.eco with “Privacy” in the subject, or write to our registered office.
Information we receive
- Enquiries and correspondence: your name, email address, organisation, job role and any other contact details you choose to provide, together with the material, site location and project information you send us.
- Technical information: hosting and security systems may record your IP address, requested pages or files, access time, browser information, referring page and security events. These records help deliver and protect the website.
- Privacy preferences: a small record stored in your browser when you choose to save your cookie settings. It contains the notice version, your choice and its date, without an advertising identifier.
- Authorised editor information: account and login-security records for people given access to our content management system. Public visitors do not need an account.
Please do not include sensitive personal information or information about other people unless it is needed for your enquiry and you are entitled to share it. This website is intended for professional and business use, not for services directed at children.
The enquiry form and your email app
Our enquiry helper creates an email draft in your own email application. Typing into it or selecting “Prepare an email” does not submit the fields to our website or save them to its database. We receive the enquiry only if you send the email. Your email provider handles the draft and the message under its own terms and privacy information.
Why we use information and our lawful bases
- Responding to business enquiries, assessing potential projects and managing professional relationships: our legitimate interests in communicating with people who contact us and developing our business. Where you personally ask us to take steps towards a contract, those steps may instead be necessary for that contract.
- Delivering and securing the website, investigating misuse and managing authorised editor access: our legitimate interests in maintaining a reliable and secure service.
- Keeping records required by law and dealing with legal or regulatory requests: compliance with a legal obligation, where one applies. Protecting or pursuing legal claims may also rely on our legitimate interests.
- Remembering a privacy choice you ask us to save: providing that requested preference function. Optional tracking, if introduced, would need a separate explanation and any consent required by applicable law before it starts.
We do not currently use this website for advertising profiles, behavioural analytics or automated decisions producing legal or similarly significant effects. We do not use an enquiry as permission to add you to a marketing mailing list.
Who may receive information
Website enquiries are handled by our UK team. Information is available to personnel who need it to deal with your enquiry or operate the service. Our website is hosted in the UK. Hosting, email, IT and security providers may process information on our behalf. Professional advisers or public authorities may receive information where needed for legal obligations or claims. We do not sell personal information.
International handling
The website is UK-hosted and enquiries are handled in the UK. An email or other IT service may nevertheless involve processing in another country. If a transfer outside the UK or European Economic Area is subject to UK or EU restrictions, an appropriate legal transfer mechanism is required. This may be an applicable adequacy decision or contractual safeguards, together with any necessary additional protections. Contact our privacy contact for the countries and safeguards relevant to your enquiry and for a copy or explanation of any applicable safeguards.
How long information is kept
We keep information only for as long as it is needed for the purpose for which it was collected. For enquiries, the relevant factors are whether the enquiry is still active, whether it develops into a business relationship, the need to document what was agreed, and applicable legal or claim periods. Security records are kept according to the hosting or security function they support, with longer retention only where an incident or legal requirement makes it necessary. Ask our privacy contact for the retention arrangements relevant to your information.
Your saved website privacy choice expires after 180 days, unless you clear it sooner. The authorised-editor session cookie is a browser-session cookie; the application ends an inactive login after 30 minutes.
Cookies and similar storage
This website currently uses necessary functions only. It does not load analytics cookies, advertising pixels, social-media tracking widgets or third-party video players. Fonts, images and project videos are served by this website. Normal links to LinkedIn and collaborators take you to separate websites; those sites apply their own policies after you follow a link.
“Cookie settings” in the footer explains the necessary storage and lets you save or clear your preference. The browser record remembers an essential-only choice; it does not authorise future tracking. If optional technologies are added, the notice and controls must be updated and any required consent obtained before those technologies run. Details of the current storage appear below this policy.
Your data protection rights
Where the relevant UK or EU law applies, you can ask for access to your information, correction of inaccuracies, erasure or restriction, and, in applicable cases, a portable copy. You can object to processing based on legitimate interests and object to direct marketing at any time. If processing relies on your consent, you can withdraw it without affecting earlier lawful processing. Rights are subject to the conditions and exceptions in the relevant law.
Email our privacy contact to make a request. We may need proportionate information to confirm your identity. Requests are normally handled without charge and within one month; we will explain any lawful extension or exception.
Questions and complaints
You can raise a data protection complaint by emailing sales@hydrophis.eco or writing to our registered office. We will acknowledge it within 30 days, investigate and explain the outcome without undue delay.
You can also complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/ or, where EU law applies, to the supervisory authority in the EEA country where you live or work or where an alleged infringement occurred. You do not have to give up your right to contact a regulator by contacting us first.
Updates to this policy
We will update this page when the website’s handling of personal information changes. A new purpose or optional technology may require additional information or a new consent choice. The date above identifies the current version.
